A useful knife sharpening drop-off form connects a physical bundle to one customer and one return location. Start with a bundle ID and an item count, then record enough information to contact the customer and reconcile the return. You can do this on paper or in a spreadsheet before considering software.

Do not use a phone number as the bundle ID. A customer may have two orders open, and you do not need to expose their contact details on every working list. Keep contact information in the order record and give the customer a matching reference.

How to use the form at a partner store

  1. Assign one reference to the bundle and its record.
  2. Count the items at the handoff and record the item types.
  3. Confirm the customer's contact information and pickup location.
  4. Keep the physical tag with the bundle throughout processing.
  5. Reconcile the items again before returning the bundle to the store.

If the count is unclear, resolve it before marking intake complete. For example, a form saying “four items” beside a bundle containing three needs clarification; copying the expected count into the record hides the exception.

Keep the form short enough to use

An intake form should support the counter handoff, not require the customer to understand your workshop. Put internal work notes in a separate section.
